Position: Administrative Assistant

Position Summary:

This person will provide the first impression of CompuSys and so he/she must possess a positive and energetic attitude. The ideal candidate must have a can-do personality and a willingness to help out with whatever duties are required to help the business run smoothly. The administrative assistant must be able to multi-task with a variety of duties such as answering and routing a multi-line phone system, tracking e-mail queues, accepting and handling office visitors, generating support tickets, coordinating calendars, printing and processing marketing materials, handling meeting and hospitality arrangements, handling accounts receivable and payable, assisting in purchasing workflow, and tracking and maintaining supplies.

Responsibilities:

Work with a multi-line phone system and ensure that all callers are routed efficiently to the appropriate parties
Monitoring e-mail and ticket queues to assure that they are being handled by appropriate parties
Coordinate meetings and other hospitality arrangements within our office
Handle the tracking and maintaining of all office supplies
Support the staff with a variety of clerical tasks
Excellent attention to detail and ability to follow through with requests in a timely manner
Processing of paperwork and workflows related to purchasing parts
Ability to understand the issues reported by users through different channels, recording the problem details in the ticket description and walking users through basic diagnostics if applicable
Be a self-starter with the ability to multi-task and work on multiple tasks with frequent distractions
Maintaining and processing marketing materials.
Ability to use our ticket management application, QuickBooks and other required systems
Be flexible to assist with all other duties as assigned

Requirements:

Undergraduate degree preferred, High School completion is required.
Minor understanding of IT infrastructures for ticket creation (Training can be provided)
Clear and articulate verbal communication skills
2+ years of experience working in an office environment
Ability and flexibility to work in a fast-paced, constantly changing environment
Positive attitude and willingness to ‘go the extra mile’

Required experience: working in an office environment: 2 years
Required education: High school or equivalent
